About the Role
We are seeking a highly organised and proactive Administrative Officer to support Down Community Arts in the administration and governance of its work. This role is central to the smooth day to day running of the organisation, providing administrative, financial, and coordination support to the board, team, artists and other suppliers.
The successful candidate will work closely with programme staff, artists, suppliers, and board members and play an important role in ensuring good communication, accurate record keeping and effective administration across the organisation.
Key Responsibilities
Financial & Contract Administration
- Manage invoices, including processing, tracking, and maintaining accurate financial records
- Liaise with suppliers regarding payments, services, and queries
- Support the management of contracts with artists, suppliers and funders, ensuring documentation is up to date and stored correctly
- Assist with basic financial administration and reporting as required
Administrative Support
- Provide day to day administrative support, including email monitoring and correspondence
- Manage diaries, meetings, and scheduling for the team
- Prepare agendas and take accurate minutes for board meetings and other meetings as required
- Maintain organised digital filing systems
Communication & Social Media
- Support social media activity in collaboration with the wider team
- Assist with scheduling posts, sharing programme updates, and maintaining consistent communication
- Help gather content from artists, events, and activities
General Support
- Act as a key point of contact for artists, suppliers and the board
- Support the team with ad hoc administrative tasks related to programme delivery
- Uphold the values and aims of the arts community programme in all communications
Person Specification
Essential
- Strong administrative and organisational skills
- Experience with invoice management and working with suppliers
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and work independently
- Good IT skills, including email, document management, and basic spreadsheets
Desirable
- Knowledge of or experience in the voluntary arts and/or community arts sector
- Experience supporting boards or committees, including minute taking
- Familiarity with social media platforms and content planning
- Experience working in small teams or community focused organisations
